Types of Data Backup

Full:
A full backup backs up all the files selected every time. This type of backup is the best at making sure all your relevant data is easily and quickly accessible in an emergency. However, this type of backup uses more resources than a differential or incremental. A full backup takes more time, and consumes storage media at a greater rate. This backup restores faster than an incremental or differential backup, but consumes more space and takes longer for the job to run.

Incremental: This type of data backup will only archives files that have changed since the last backup. Running the backup job in this manner saves media space. However, restoring an incremental backup takes longer since the last full backup must be restored along with all of the subsequent incremental backups. JIPO Tech recommends this backup for companies with media space limitations.

Differential: This backup only archives files changed since the last full backup. It requires less space than a full backup but more than an incremental. This backup job is also faster to restore than an incremental since only the last full backup and the last differential backup are required. JIPO Tech recommends this backup for companies that require a speedy restore, but don’t wish to consume excess storage and media space.

Networks need rules

Far too often I walk into networks gone wild. Users playing poker, users looking at porn, users with computers so loaded up with garbage(smiley face cursors, cute screen savers, chat clients) that their computer runs slow enough to be useless. Don’t let your company’s network go wild. Spell out the rules for computers with an Acceptable Use Policy.

What is an AUP?

AUP stands for Acceptable Use Policy. The AUP can be a formal or informal policy that dictates how a company’s computer resources are to be used, what is unacceptable, and include the consequences of breaking the policy.

Why does a company need an AUP?

A company’s computer and network infrastructure represent a costly investment and need to be used in a manner beneficial to the company. These technologies allow company users to access data and information both on both remote and local networks and it is critical users respect the rights and intellectual property of others. The goal of the AUP is to ensure reliable and secure access to company resources.

Provisions of an AUP can include:

    The proper use of company computers

    Refrain from seeking unauthorized access

    Respect software copyrights and licenses

    Respect the rights of other computer users

    Refrain from giving others their username and password

    To store data in the proper location so it is backed up.

    To report misuse of company computers

Keys to running a successful network

1. Documentation of your network is the first step to maintaining a proper network. What is on your network and what is its purpose? A technician would be fool hardy and short sighted to make changes to a network if he/she doesn’t know what it consists of. They can fix a problem, but the consequences of that fix may affect other devices. A proper audit of your network will identify what devices are being used and serve as a reference to any technician who services your network.

2. Backup backup backup! There are two types of data backups: Backups that have been documented, setup and tested, and those that are useless. Harsh words, but I speak the truth. Many times I have tried to restore a backup, only to discover the backup hasn’t run in months or the needed data is was not included. An ideal backup consists of both an on-site backup and an off-site backup. In case of fire, theft, or a disgruntled employee an offsite backup can save your business.

3. Use your computers to make your employees more productive. To many times companies will only use outside consultants or technicians when there is an immediate obvious problem. A computer consultant worth their salt can show employees how to be more productive and how to collaborate and share their work within the office. Computers automate repetitious tasks. Employees take breaks, become bored or distracted. Why don’t your computers to the busy work? They should.
